Privacy Policy
This Privacy Policy (the "Policy") describes how Valley Innovation Inc. ("we", "us", or "our") handles information in the mobile application "English Writing Routine" (英作文リマインダー) (the "App").
This English text is provided for convenience. If there is any discrepancy between this text and the Japanese version, the Japanese version prevails.
1. Our approach
The App requires no account. We do not collect information that directly identifies you, such as your name, email address, or phone number. Your compositions and their results are stored on your device.
However, the AI scoring runs on a server. The text of your composition is therefore sent to our server and to our AI provider in order to be scored. This Policy sets out exactly what is sent and how it is handled.
2. Information we handle
2.1 Information you enter that is sent to our server
When you request scoring, the following is sent to our server:
- the text of your composition (your answer to the prompt, up to 1,000 characters);
- the text of the prompt shown to you, and its identifier;
- your feedback language setting (one of seven languages);
- your learner level setting, if you have set one; and
- a random identifier used to prevent the same submission being processed twice.
2.2 Information generated automatically
- Anonymous user identifier — on first launch the App signs in anonymously and is issued a random identifier. It is not linked to a name, email address, or any similar information.
- Scoring counts and dates — recorded in order to enforce the daily limit on scoring attempts.
- Premium subscription status — whether you are on the paid plan, its expiry date, and the transaction identifier issued by the store.
- Diagnostic logs — the request identifier, the anonymous user identifier, the character count of your composition, and the outcome of processing. We do not log the text of your composition.
2.3 Information stored on your device
The following is stored on your device:
- Your compositions and their results — held in a database on the device. The history itself is never sent to our server (the composition is sent for scoring, as described in Section 2.1).
- Your notification settings (times, count, interval) — not sent to our server.
- Your language setting — stored on the device, but sent to our server when you request scoring, so that feedback can be returned in that language (see Section 2.1).
- Your authentication session — stored in the secure storage provided by the operating system (the iOS Keychain or the Android Keystore).
2.4 Information we do not collect
- Name, email address, phone number, postal address, or date of birth.
- Location, contacts, photos, camera, microphone, or health data.
- Advertising identifiers (IDFA or Advertising ID). The App shows no advertising.
- Automatically transmitted analytics or crash reports. The App bundles no analytics or advertising SDKs.
- Push notification tokens. Notifications are scheduled locally on the device; we never send them from our server.
- Payment details such as card numbers. Payment is processed by Apple or Google, and we never receive your payment details.
The list above concerns information collected through the App. If you email the address given on the support page, we receive the sender's email address, your name if you give it, and the content of your message. We use these only to answer your enquiry and delete them once there is no longer a need to keep them. They are never linked to the anonymous user identifier — we have no means of linking them.
3. Purposes of use
We use the information above only in order to:
- generate and return scores, model answers, and feedback for your compositions;
- enforce the daily limit on scoring attempts and prevent duplicate processing of the same submission;
- determine your Premium subscription status and apply the corresponding daily limit;
- prevent misuse and abuse;
- investigate faults and improve the quality of the service; and
- answer your enquiry, where you have emailed us as described in Section 2.4.
We do not use this information for advertising, profiling, or training AI models.
4. Processors and disclosure to third parties
We engage the following service providers in order to operate the App.
| Provider | Purpose | Information provided |
|---|---|---|
| OpenAI, L.L.C. (USA) | Running the AI scoring | The text of your composition, the prompt, and your feedback language setting. The anonymous user identifier is not sent. |
| Supabase, Inc. (USA) | Authentication, database, and server runtime | The information in Sections 2.1 and 2.2 |
| RevenueCat, Inc. (USA) | Managing subscription status | The anonymous user identifier and store purchase information (transaction identifier, expiry date, and the like) |
| Apple Inc. / Google LLC | App distribution and payment processing | Information collected by each company under its own terms and privacy policy |
We do not provide this information to any other third party except where required by law.
If the business relating to the App is succeeded to by another party through a merger, company split, business transfer, or similar event, the information we hold may be provided to that successor. In that case we will require the successor to handle it on terms equivalent to this Policy.
The AI used for scoring is accessed through an API offered on terms under which submitted content is not used to train models, other than where required by law or for abuse monitoring. Please also review the AI provider's own privacy policy for details of its handling.
This website (which publishes the Terms of Use, this Policy, and related pages) is served using Cloudflare, Inc. (USA). We do not collect access logs for this website, other than the aggregated statistics Cloudflare provides to us as the hosting provider.
5. International transfers
As set out above, all of our service providers are located outside Japan, principally in the United States. Information is transferred to servers operated by those providers and is subject to the laws of those countries.
6. Retention periods
| Information | Retention |
|---|---|
| The text of your composition | Not stored on our server. It is processed for scoring, sent to the AI provider, and then discarded. |
| Results, including model answers | Kept so that the same submission is not scored twice. Records older than 24 hours are deleted by a scheduled job that runs every hour. |
| Anonymous user identifier, scoring counts and dates | For as long as necessary to operate the App and enforce the daily limit |
| Premium subscription status | For as long as necessary to manage the subscription |
| Identifiers of expired or refunded transactions | The transaction identifier alone is retained on an ongoing basis, so that an entitlement that has expired cannot be reinstated in error. If you delete your data, these identifiers are deleted along with it. |
| Diagnostic logs | For a short period (the retention period set by our server provider) |
See Section 7 regarding deletion of records held on our server.
7. Deleting your data
- Deleting your data — use "Delete my data" in the App's settings to delete the anonymous user identifier itself, together with the data associated with it on our server. Your learning history on the device is deleted at the same time. See Deleting your data for the steps and the exact scope. Deletion cannot be undone.
- Deleting device data only — to delete only your learning history, use "Reset learning data" in the App's settings. Deleting the App also removes your learning history (the database on the device). However, your authentication session is held in storage provided by the operating system (such as the iOS Keychain), so depending on the operating system it may survive deletion of the App and be carried over if you reinstall on the same device. To delete the data on our server as well, use the data deletion above.
- Requests to delete individual records — the anonymous user identifier is not linked to a name, email address, or similar information, and the only means of linking it to you is held on your device. We are therefore unable to action requests to delete individual data by email. Please delete your data from within the App.
- Records that remain after deletion — audit records kept to confirm that billing was processed correctly remain, but the identifiers of the user (the anonymous user identifier and the identifier used by the billing service) are stripped from them as part of the deletion. What remains is the event ID assigned to each notification by the billing service, the event type, the outcome and its reason, and the time of receipt — none of which identifies you, and none of which is linked to the deleted data.
- Cancelling your subscription — cancel from the subscription management screen of the App Store or Google Play. Deleting the App does not cancel the subscription.
8. Requests for disclosure, correction, or suspension of use
- Information collected through the App — the anonymous user identifier issued by the App is not linked to a name, email address, or similar information, and we cannot identify any specific individual from it. Moreover, the only means of linking the identifier to you is held on your device. Accordingly, an email cannot establish that a request comes from you, nor identify the records it concerns, so we cannot action requests by email to disclose, correct, add to, delete, suspend the use of, or stop the third-party provision of that information. By contrast, deletion of the data held on our server can be carried out at any time from within the App, using the credentials held on your device (Section 7). Where applicable law requires us to respond to a request, we will do so in accordance with that law.
- Email you send us — as described in Section 2.4, if you email us we receive your sender address and related details. If you would like those disclosed, corrected, or deleted, please contact the address on the support page from the same email address. We will respond in accordance with applicable law.
9. Security
- All communication is encrypted using HTTPS.
- Secrets such as AI provider API keys are handled only on the server and are never included in the App.
- Data on the server is protected by row-level access control, so that records belonging to other users cannot be accessed.
10. Children's privacy
The App is not directed to children under 13. If a child under 13 uses the App, they should do so with the consent and supervision of a parent or guardian.
11. Changes to this Policy
We may amend this Policy where we consider it necessary. An amended Policy takes effect when published on this website. If we materially change the information we handle or the purposes of use, we will announce it in the App.
